Custom Designed Vehicle Insurance Trakker
Background info:
A very successful special needs transportation company has a fleet of over 40 vehicles that are currently insured. Some of the vehicles are only used part of the year, and are removed from the insurance when they aren’t going to be used for more than 30 days.

Challenges:
  1. An easier way to track the number of days each vehicle was not on the insurance.
  2. How can the staff spend less hours calculating what the insurance cost should be at the end of the week, month and year when each vehicle is insured at a different rate for a different number of days?
  3. How can the insurance bill be checked for accuracy without spending hours doing the calculations for each vehicle manually?
Solution:
JNET created a small, stand alone, easy to use database that accomplished the following:
  1. Stores important information pertaining to each vehicle in one easy to access location on a network drive. All parties that need the information will have access to it whenever they need it without having to open a file drawer full of folders for each vehicle.
  2. Each and every time a vehicle is added to the insurance or dropped from the insurance the information is added to an easy to use form .
  3. The database calculates the insurance cost for each vehicle on a daily, weekly, monthly and yearly basis. Each vehicle’s total insurance cost is now easily obtainable.
  4. The exact number of days that a vehicle is off of the insurance can be given to the insurance agency in case of billing disputes.
The hours that it used to take to check over and verify an insurance bill for payment can now be accomplished in minutes by running a detailed report that combines all vehicle insurance costs.
Custom Designed Policy Holder/
Claims Trakker Database
Background info:
A customer service oriented AFLAC agent needed a more efficient way of tracking claims from her policy holders. Hundreds of claims can be happening at once and be at different stages in the claim process.

Challenges:
  1. An easier way of tracking what stage a particular claim is in, than keeping hundreds of pieces of paper in a folder on the desk.
  2. Provide better customer service, follow up on claims, birthday cards, get well cards, for thousands of policy holders.
  3. A way to use the data pertaining to current policy holders for future sales, policy change alerts, informative newsletters, etc...
Solution:
JNET created a mini CRM application using Microsoft Access that accomplished the following:
  1. Stores policy holder contact information, as many policies per policy holder as needed, benefits still available for the year or life of the policy, Doctor information for claims.
  2. To-Do lists are created automatically to alert agents that a follow up action is required.
  3. Automatic mail merges are created for birthday cards, get well cards for anyone placing a sickness claim, Thank you cards for new policy holders added to database.
This system can be used by individual agents or can be a multi user database set up for an entire office of agents.
Custom Designed Order Entry/Shop Workorder
Entry/ Parts Information Database
Background info:
A local parts manufacturer and service center for banding equipment started up in North Royalton, Ohio in 2001. NPS started with a small custom ACCESS database system that could track the workorder information on tool repairs. As the company grew, so did it’s database needs. Modules were added to the database and continue to be added as this growing company expands. Their system is totally unique and custom fit to their specific needs.

Start up Challenges:
  1. A more efficient way to produce invoices for tool repairs done in the repair center.
  2. The administrative staff was handwriting packing lists for parts sales, customer orders, tool repairs.
  3. Inventory tracking was non-existent.
Start up solution:
JNET created a small, MS Access database to track parts used in repairs of banding equipment that was done in-house that enable NPS to do the following:
  1. Store important customer contact information.
  2. Create a parts database for all types of tools that will be repaired at the NPS service center and at the customers’ facilities.
  3. Track the parts used in the repair of customers’ equipment.
  4. Create Customer orders, Customer quotes, & Track vender pricing on parts.
Current Database Status
JAdditional modules and reports have since been added to the NPS database to produce the following:
  1. An inventory numbering system, as the inventory parts grew to over six thousand parts, a new numbering system was put in place, and an inventory department was set up to control inventory stock levels, parts usage for repairs and so on.
  2. Purchasing Module was put in place to automate purchasing of parts needed for customer orders, work orders, or field service parts requests.
  3. Field Service module was created to track field service calls, expenses for field service personnel, and track hours for payroll.
NPS’s database is a multiple user database that is utilized by all of NPS’ employees the entire day.
Custom Designed Transportation Database
Background info:
A very successful special needs transportation company, transports students to and from school for several school districts in Ohio.

Challenges:
  1. Manage the tremendous amount of data that is needed on each student, school, school district and driver.
  2. Track service on over 40 vehicles.
  3. Create drivers’ routes, invoice reports, and mail merges to parents, schools, districts. Track school calendars for hundreds of schools.
  4. Log incident reports for student or driver incidents.
  5. Log call-offs for drivers and students.
  6. Manage information on drivers, employees, or contractors.
Solution:
JNET created a database that can hold all of the data that is needed on hundreds of students, schools, school districts and drivers in addition to the following:
  1. Student forms collect complete data on all students transported, mail merges are created for letters and medical forms needed for over 300 students.
  2. Vehicle service is logged for over 40 vehicles in addition to parts used, parts in inventory, and a purchasing module that creates purchase orders for vendors supplying parts.
  3. School days off, due to weather or holidays, are tracked for over 150 schools for invoicing purposes.
  4. Emergency information for students or drivers can be seen quickly, no need to pull papers out of a folder.
  5. Employees’ birthdays, days off, and perfect attendance can all be reported with a single click.
  6. T1 miles are calculated for the schools automatically.
  7. Vehicle maintenance can be scheduled during school breaks.
  8. Several reports were created to help all of the staff do their jobs more efficiently, from the maintenance dept. to the President and CEO.
